Terms and Conditions

At Seven Roads Media, we have established guidelines to ensure that expectations are properly set and understood by both parties. By ordering services from Seven Roads Media, the client agrees to the Service Agreement outlined below, which applies to all video and photography needs. These guidelines are in place to ensure that we, as Seven Roads Media, are able to provide a smooth and efficient service and that the client is able to receive the desired outcome.

 

Scheduling: Appointments can be scheduled through our online booking system. Our team will make every effort to schedule appointments at the most favorable time of day, taking into consideration weather conditions. However, ultimately, it is the responsibility of the client to ensure favorable conditions at the scheduled time. Seven Roads Media reserves the right to modify or reschedule appointments as necessary to best serve our client network. In such cases, proper notice will be given through phone, text, or email.


Weather Conditions: Clients may cancel or postpone a scheduled shoot due to adverse weather conditions without incurring cancellation fees. We will make every effort to reschedule at a favorable time, but due to pre-existing appointments, we cannot guarantee an appointment on the following day or the same photographer's availability. Clients should notify us as soon as possible about weather-related cancellations to help us manage our schedule effectively. We appreciate your understanding and cooperation in these circumstances.

Travel and Parking Fees: Seven Roads Media endeavors to keep travel expenses to a minimum for our clients. We do not charge for mileage unless the distance exceeds 15 miles, in which case a fee of $0.67 per mile will be applied for one way in addition to the total cost of the appointment. Travel costs are calculated based on the location of our photographers, whether that be their residence or the Seven Roads Media office located in Springfield, Massachusetts. Our team is scheduled in the most efficient manner to minimize travel expenses. In the event that parking fees are incurred, the most cost-effective option will be sought and the client will be billed directly for any associated charges.

 

Payment Terms: Full payment for media must be made upon delivery at the time of download. Payment is required to unlock the media in the property gallery for download.  Brokerage partners may be eligible for scheduled invoices. Payments that are overdue may be subject to a $25 per week late fee at the discretion of Seven Roads Media. Payments that are overdue for more than one month may also be subject to an additional $100 per month or a 10% per month late fee at the discretion of Seven Roads Media. Our standard turnaround time begins at the end of the appointment, and turnaround time for video is between 48 to 72 hours. Turnaround time for 2D Floor Plans, 3D Tours, and enhanced editing is typically less than 48 hours.

 

Cancellations and Rescheduling: Seven Roads Media understands that unforeseen circumstances may arise and we strive to be as flexible as possible with rescheduling appointments. However, cancellations and postponements with less than 24 hours' notice will incur a fee equal to 25% of the total invoice. Appointments that are missed without prior notification, or "no-shows," will also be subject to a fee equal to 25% of the total invoice. "No-show" is defined as 20 minutes past the scheduled appointment time.

 

Photography and Filming: Seven Roads Media reserves the right to exercise creative liberty in the composition and selection of shots, including the number of photos per room, unless otherwise specified by the client in advance. If additional photos, including changes in angle, are requested, an additional fee for a second visit to the property may apply.

 

Liability and Insurance: Seven Roads Media is covered under a $2 Million general business liability policy that can be provided upon request or written for a specific job, Client, or agency. Our drone operators are licensed by the FAA. Our team may use their discretion to determine if a job poses any safety risks due to weather conditions, proximity to airports, or other factors and reserve the right to refuse service if necessary. If one or more of the provisions contained in the Agreement is found to be invalid, illegal or unenforceable in any respect, the validity, legality, and enforceability of the remaining provisions shall not be affected. Such provisions shall be revised only to the extent necessary to make them enforceable.

 

Property Preparation: To ensure a smooth and efficient photography or filming session, please ensure that the property is ready for our arrival. You will have received a "Home Prep Guide” with your appointment confirmation. It is your responsibility to communicate with the property owners and arrive 20-30 minutes prior to the scheduled appointment to turn on lights, declutter, remove cars from driveways, etc. A property that is not ready can cause delays for our busy creative crew. 

 

Seven Roads Media is not responsible for moving, altering, or changing objects within the property. Our team may make minor adjustments at their discretion, but we do not provide furniture moving, home staging, or cleaning services. The property will be photographed or filmed "as-is" and we are not responsible for securing doors, windows, or other access points, turning off lights, or fireplaces before our departure.

 

Reshoot Fees: In the event that a reshoot is required due to, but not limited to, the property not being ready, changes to the decor, or additional photos/videos beyond the scope of the original work, a fee of $99 may be applied at the discretion of Seven Roads Media.

Asset Delivery: Seven Roads Media endeavors to deliver photography within 24 hours of the appointment time and real estate video production within 2-5 business days. Deliverables will be provided through our online platform or a Dropbox link.  We highly suggest downloading and storing all your media assets, as we regularly purge media from our servers.

Storage and Deletion:  In most cases, raw and unedited media will be permanently deleted six months after an appointment.  Seven Roads HIGHLY suggests that clients download and store all assets, as we cannot guarantee media to be on file after 6 months. 

 

Floor Plans: Floor plans and square footage estimates provided by Seven Roads Media are approximate. We do not guarantee the accuracy of measurements when producing floor plans. These plans are intended as an overview and not as a precise measuring tool. Our floor plans are artistic sketches of a home's layout, and we do not guarantee their accuracy. While we use third-party tools, we can ensure the quality and completeness of our floor plan services. Specifically, Zillow 3D Tours are subject to the terms and conditions set forth by Zillow and Floor Plans are accurate to 93-97% and should be used for illustrative purposes.

 

Refund Policy: Seven Roads Media does not offer refunds for any purchases. All sales are final and no money-back guarantees are provided. Canceled appointments that have been paid for may be eligible for credit on the client's account. This includes retainers. Photography Revisions: Our pricing includes an editing fee which covers standard retouching. Additional photoshop editing will incur a fee of $10 per photo.

 

Video Revisions: The final versions of videos submitted are considered final and revisions will not be accepted unless an error has been made on our part.   Errors may include misspelled wording, the wrong address, etc.  Music choices are also final. If the client has requested that we choose the music, we will not be held responsible if they are not satisfied with the selection.  Any changes made after the final video has been sent will be subject to a charge of $75 per hour.

 

Asset Rights and License: All services produced by Seven Roads Media, as well as any rights related to them, including copyrights and ownership rights, remain the sole and exclusive property of Seven Roads Media. This license grants the client a limited right to publicly display and distribute the photographs and videos solely for promotional advertising purposes directly related to the sale of the property. The photographs and videos are provided as a single-use license and may not be duplicated, edited, altered, or manipulated in any way without the consent of Seven Roads Media. The photographs and videos may not be sold to any third party without the express consent of Seven Roads Media.

Information on Monthly Specials: By booking a Monthly Special package ("Special Package") with Seven Roads, you agree to the following Terms and Conditions: The Special Package is available for bookings made within the specified calendar month and includes a pre-defined selection of services, as outlined in our promotional materials. These services are non-negotiable and no substitutions or customizations may be made. The price of the Special Package is as stated in the promotional materials and no other discounts may be applied. Full payment is required at the time of delivery. Standard delivery times apply unless otherwise stated. For packages that include drone services, the FAA controls the airspace, and where drone flight is not possible, a 42-photo package and virtual twilight photo may be provided as a replacement. No other substitutions or discounts are available. Standard cancellation policies apply, and our company is not liable for any loss or damage arising from services rendered as part of the Special Package.
